Project proposal for Syncom Asia Pacific

Our proposal to improve business processes within a service company 👨‍🔧

OVERVIEW:

This project proposal outlines the implementation of Computer Integrated Manufacturing (CIM) technologies, specifically RFID and Notion, to improve Syncom Asia Pacific Inc.’s operational efficiency, focusing on sales document and inventory tracking.

Syncom Asia Pacific Inc. is a distributor of biomedical equipment seeking to expand its business and improve operational efficiency. The project aims to address concerns related to financial documentation tracking, storage management, and product delivery, particularly within the billing system. The proposed solution involves creating a system using Notion and RFID to track sales documents and inventory.

PROPOSED CIM TECHNOLOGY:

RFID:

  • Utilizes tags, readers, and control systems for real-time information exchange.
  • Enables precise location tracking of cargo and individual parts.
  • Applicable to retailing, inventory management, logistics, and supply chains.

Notion:

  • Serves as a centralized database for tracking financial documents, inventory, and schedules.
  • Offers a collaborative workspace with Kanban board displays for task management.
  • Provides an alternative to the company’s current use of Trello.

Cost of Installation:

RFID System:

  • Fixed RFID Scanner: ~₱1120000 - ₱448000
  • Handheld RFID Scanner: ₱20,000.00 - ₱70,000.00
  • RFID Tag: > ₱6 (price varies by quantity, size, materials, and ruggedness)

Notion Software:

  • Free: $0.00
  • Plus: $8.00 per user/month (billed annually)
  • Business: $15.00 per user/month (billed annually)
  • Enterprise: Contact sales for pricing

PESTLE and SWOT Analysis:

Detailed SWOT and PESTLE analyses are provided for both RFID and Notion implementations, covering strengths, weaknesses, opportunities, threats, political, economic, social, technological, legal, and environmental factors.

Steps for Implementing CIM Proposal (Notion):

1.) Assessment: Evaluate current system (Trello and emails). 2.) Defining Objectives: Boost efficiency and streamline procedures. 3.) Selection of Technology: Notion (due to familiarity with Kanban boards). 4.) Developing a CIM Implementation Plan: - Template creation and review. - Migration of company operations. - Employee onboarding. - Post-implementation review and adjustments. 5.) Integration of CIM: Combine with current systems and procedures, perform testing. 6.) Optimization: Further adjustments based on company feedback.

Assessments:

  • Efficiency and Safety: Improved efficiency in document retrieval and no safety concerns.
  • Cost Effectiveness: Cost-benefit analysis shows potential for increased productivity and output despite a slightly higher software cost compared to Trello.
  • Ethical, Legal, Social, and Systems Impact: Addresses potential job impacts through worker training and focusing on critical decision tasks.

Conclusion:

  • Expected Performance: Improved efficiency, inventory management, and productivity.
  • Expected Improvements: Streamlined operations, reduced errors, better inventory accuracy, and cost savings.
  • Additional Recommendations: Explore Google services (Sheets and Forms) for collaborative document management and data tracking.

LEARNINGS:

We presented this proposal to the company’s representatives with the group going to the actual site regarding the proposal initiative to improve their business operations. Admittedly, despite the initiative that we have underwent on securing our pitch, we were not able to get feedback if they actually implemented our suggestions like that of transitioning to a better tracking software that is free like Notion given their small operation.

Likewise, computer technologies for business and manufacturing setups takes also a bit of convincing towards the stakeholders to implement their project to their current managerial system. Kaya kahit anong costback period analysis or investment analysis we make, at the end of the day, it comes down to the representative if they will utilize our idea. 😅

The learnings can be made on how we present the idea to the company and how we can convince current businesses to transition to better computer integrated systems which may be applied down in the future in manufacturing continuous improvement.
